System Administrator
We’re on the lookout for a detail-oriented and proactive System Administrator to manage and maintain our Totara Learning Management System (LMS) and provide essential administrative support to our Training & Development (T&D) function. In this role, you’ll make sure every colleague enjoys a smooth, engaging learning experience — from day one onwards.
This is a fixed term contract of 18 months.

What you’ll be doing
- Maintain accurate learner data, including headcount, job roles, and organisational structures within the LMS
- Enrol new starters in required learning programmes and assign mandatory training on time
- Configure and manage audiences for automated learning assignment
- Maintain and update organisation frameworks to reflect business changes, ensuring automation rules remain effective.
- Create and schedule seminar events in the LMS
- Administer and update system roles to ensure correct access and enrolment for managers and employees
- Generate and share learning completion reports for teams and the wider business
- Build and publish learning sets using materials provided from Learning Facilitators
- Manage user profiles and access permissions
- Coordinate invites for learning activities delivered outside the LMS
- Track feedback for core learning programmes and follow up with participants as needed
- Ensure new starters are aligned to required communication platforms
- Liaise with payroll to support the onboarding of agency colleagues
Who we’re looking for
You’ll thrive in this role if you:
- Have hands-on experience working with an LMS platform (Totara experience highly desirable)
- Have an analytical mindset – inquisitive, logical, and process-driven
- Are confident with Excel at an intermediate level (formulas, data management, reporting)
- Bring strong organisational skills and excellent attention to detail
- Have basic HTML knowledge (advantageous but not essential)
- Can work independently and build strong working relationships across teams
- Communicate clearly and confidently with stakeholders at all levels
